Board Minutes

Christ the Servant Catholic Church
December 14, 2009

Present: Kathleen Revell, Hannah Wakeling, Rick Marchand, Mary Smith, Don Nicholson, Alison Landry, Michele Mitchell
Absent:  Gary O’Dwyer
 
 
1.  Opening Prayer-Alison
 
2.  Amendment to minutes-Board accepted motion to purchase gift for Alison.  An engraved clock was purchased and presented to Alison after mass.  Kathleen motioned to accept minutes, carried.
 
3.  Agenda reviewed and accepted
 
4.  Financial issues:
    a) Previous month’s financial review- CtS is in a healthy position
    b) Financial requests-more information needed regarding single request-    Michele to ask Gerard

5.  Update on current church projects:
   a)  Outreach for January - Food drive and food bags-Food items requested canned foods, peanut butter, non-perishables.  Suggestion to begin to collect items and forward to first Baptist Church in Port Hope. Suggested cut-off of January 10th as final cut off.  Transfer to 1st Baptist church on Monday and bag on Tuesday.  Parishioners should bring peanut butter, cereal, pasta sauce, pasta and canned meat/fish.  Items to be put in bulletin  All goods collected until January 10th, 2010 will go to Greenwood Towers.  All goods collected on January 17th will go to Unity in the Community. 
    b) December 23rd dinner at Greenwood Towers-sign up sheet full for donations, there is enough volunteers. Alison to handle music request
    c) Don to attend Neighbourlink board meeting December January 15, 2010.  Don will be looking for participation from parishioners.
 
6.  Business arising from past minutes:
    a)  Minutes book-Alison presented Board with Miinutes book.  Book is up to date.   Alison maintaining till 2010 and will pass it on to Don.
 
7.  Pastor’s report:
    a) Consecration of Wine/Host-we should have an ongoing supply of consecrated hosts and wine.  Gary to ensure this area is addressed. 
    b) Nathan’s First Communion is January 17, 2010; Alison motioned to spend $20-$30 to purchase prayer book/bookmark as a commemorative, 2nd by Hannah, carried.  Alison to purchase.
    c) Food Drive-January 17, 2010, any non-perishable goods donation accepted.
    d) Seasonal colours were discussed at last meeting and the Board decided to NOT pursue seasonal colours.  Altar colours will reflect the Christian seasons. Focus should be the altar not on the priest.
    d) The Muldoon’s-can come either March 7th or March 28th to host retreat. The retreat would follow mass; luncheon and then workshop.  Board would prefer March 7th.  Alison to let Gary know.  
    e)  Board decided there is no need to have Bishop MalachI come at this time.
    f) Celebrating Celtic roots-Alison to contact Gary for clarification on timeline.
    g) Board does not think bookshelves are feasible at this time.  Continue to store in storage totes.
 
8.  New Issues:
    a) Parishioner’s request for carolling was addressed at mass/potluck luncheon.  Any concerns, funding requests, or suggestions must be submitted in writing.  This can be done through the section on the last page of the bulletin or under separate cover and placed in the collection basket, email, or written through the church address.   This includes Board members, Pastors, as well as parishioners and applies to all facets of church life and expenses.  All requests are to be addressed and approved and a at Board meetings prior to undertaking.
    b) Congregational input-for January meeting-where are we, where are we going, etc.  Questionaire to be drawn up and handed out to parishioners first Sunday in January (3rd) requesting input.  Alison to send out draft and circulate.  Michele to print final copies for Don to hand out.
    c)Board approved Christmas bonus for Gary.
    d) Lack of homilies on website-concern voiced by parishioners, concern will be addressed through Ministry leader and followed up.
 
9.      Congregational input-new seating arrangement working well.  Nametags would aid new members identifying parishioners.
 
10.  Next meeting date: Wednesday, January 13, 2010 144 RoseGlen Rd  Port Hope, parking in front of townhouses or in front of Apartment bldg.  Community room.  Apartment blg behind townhouses.  Security door into the community room will be open.
